Manager of Property Services Administration

A client-facing role responsible for the effective and efficient running of the day-to-day administration of PSD's Property Services division as well as working on the strategy and programs for continued growth. *Sign on Bonus*

*$2,500 Sign on Bonus paid upon satisfactory completion of 90 day introductory period.

The Manager of Property Services Administration is a client-facing role responsible for the effective and efficient running of the day-to-day administration of the division as well as working on the strategy and programs for continued growth. This is a new role and will partner with the current Manager of Property Services Administration as a dual role to ensure we provide the highest level of service to our clients.

Essential duties and responsibilities include:

  • Handling client calls/emails with requests for service or small project construction work.
  • Oversight of department policies and procedures.
  • Oversight of technological enhancements and streamlining of processes in coordination with property services team and other departments as needed.
  • Coordinating with Manager of Property Services to ensure work requests are:
    • Properly quoted and scheduled on a timely basis with client and subcontractors
    • Properly followed up on with clients throughout the project and post completion
    • Closed out and billed
  • Responsible for maintaining all client, contractor, and subcontractor/trade partner lists.
  • Oversight of house watch program and reporting to clients.
  • Assisting with obtaining supplier and contractors quotes and tracking projects through to success.
  • Oversight and client liaison of Silver/Gold/Platinum annual service programs.
  • Develop and implement buyout strategies and prepare subcontracts.
  • Oversee contractual performance of all trade contractors and review contract documents to make sure that all specifications and regulations are followed.
  • Proactively review homes in PSD Property Services programs for potential new work.
  • Business Development to expand the Property Services Division. Sourcing new client leads for residential property management. Work with existing clients for new property management opportunities. Respond to request for proposals (RFP’s) and similar client requests.
  • Develop, review, implement project budgets, schedules, proposals, and contract bid documents.
  • Responsible for Warranty program on New Homes and Construction projects and related turnovers.
  • Provide organization, direction, and training of other project team members.
  • Develop and maintain business relationships with Owners, consultants, and subcontractors.
  • Review, approve, and code subcontractor and vendor invoices on a weekly basis.
  • Perform other duties as assigned.

  • Ability to review and understand service contract documents and inspection reports.
  • Ability to respond to tasks and projects on short notice and within tight time constraints.
  • Possess analytical skills and research skills to define and solve problems.
  • Ability in assessing and prioritizing multiple tasks, projects and demands.
  • Excellent organizational, interpersonal, verbal, and written communication skills.
  • Highly organized and process driven administrative skillset.
  • Self-starter willing to take initiative to add value to the role and department.
  • Must possess a positive, "can do" attitude, and a high degree of personal integrity and business ethics.

Required Experience
Required experience includes:

  • At least 5 years of prior property service/construction experience.
  • 4-year degree preferred.
  • Knowledge of principles and practices of residential construction, engineering, and construction project management, including safety standards.
  • Self-starter willing to take initiative to add value to the role and department.
  • Project management and scheduling experience including use of software (i.e., MS Project or other).
  • Proficient in MS Work, Excel, and Outlook.

Physical Job Demands
Reaching above and below, stooping, and bending. Lifting/carrying/moving up to 50 pounds. Manual dexterity to operate office equipment, file, and perform specialized skills. Needs a high degree of concentration in a busy office and field environment.

Working Conditions
Office and/or field environment. May be exposed to hazardous working environments with heavy machinery.
